Project Tracker Spreadsheet for Google Sheets and Excel
PROJECT MANAGEMENT SPREADSHEET FOR GOOGLE SHEETS AND EXCEL
A project management spreadsheet and team project tracker for freelancers, studios and small agencies who sell time against a fixed price. It tracks hours against the estimate for every project, and shows what each one was really worth after the hours it took.
Covers projects, tasks, hours, a board, a timeline and budget against actual.
📊 WHAT IT DOES
✓ Board: shows every task's stage with the hours of work left, not just cards.
✓ Today: lists everything due today or earlier, worst first, and what's coming in the next few days.
✓ Timeline: shows each project's date, how much is done, and whether the hours left still fit.
✓ Late: lists everything past its date, worst first, with the hours behind it.
✓ Budget vs actual: tracks every project against its quoted hours and fee, and how far past the estimate it is.
✓ Profit by project: shows what arrived, what the hours cost, and what was left, project by project.
✓ Rate check: compares the rate you quote with the rate you actually got on finished work.
✓ Scope creep: tracks hours asked for after the brief, and how many of them were billed.
✓ Workload: shows eight weeks ahead against what the team can actually give.

📝 HOW IT WORKS
- Open the PDF and click the link to make your own copy in Google Sheets. Or open the Excel file.
- On Start here, fill in the shaded cells. Add your name, your hourly rate, how many hours a week you sell, and when a task counts as late or over budget.
- Add each project on Projects, each task on Tasks, and log a line on Hours for every working session.
- Everything else fills in by itself. Home shows hours of work left, what's late right now, and your billable time.
