RENTAL PROPERTY SPREADSHEET FOR GOOGLE SHEETS AND EXCEL

A rental property spreadsheet for landlords with one to ten properties: rent in, expenses out, deposits held and Schedule E at tax time.
Rent and late fees are charged from each lease by themselves. You type only what happens: a payment, a repair, a trip.
For houses, duplexes, small apartment buildings and condos you rent out.

📊 WHAT IT DOES

✓ Log: one line per money event. Pick the unit; the file finds the tenant and the Schedule E line.
✓ Leases: one row per lease, with your due day, grace days and a late fee in dollars or a percent.
✓ Properties: every unit with its tenant, rent, lease end, balance and status, like a rent roll.
✓ Rent Tracker: every unit, month by month: paid on time, paid late or short.
✓ Tenant Ledger: one tenant's statement: the balance after each month, rent paid through, rent owed apart from fees.
✓ Deposits: money you hold, not income. What you kept and why, and the day to return the rest by.
✓ Repairs and Reserves: jobs with their Schedule E line, and what to set aside monthly for the roof or furnace.
✓ Cash Flow and Month: NOI, cash flow, vacancy cost and return on price per property, and any month at a glance.
✓ Schedule E: lines 3 and 5 to 21, property by property, with a depreciation estimate, mileage and a 1099-NEC check.

📂 WHAT'S INSIDE: 14 TABS AND 37 CHARTS

✓ Start with these three: Start here, Log, Home
✓ Set up once: Properties, Leases, Settings
✓ Rent and tenants: Rent Tracker, Tenant Ledger, Deposits
✓ Money and taxes: Repairs, Reserves, Cash Flow, Month, Schedule E

📝 HOW IT WORKS

  1. Open the PDF and click the link to make your own copy in Google Sheets. Or open the Excel file.
  2. On Start here, type your name. On Properties, add each unit. On Leases, add each lease: the unit, the tenant, the start date and the rent.
  3. From then on, type only on Log: a rent payment, an expense, a deposit or a trip, one line each.
  4. Everything else fills in by itself. Home shows who owes you, which leases end soon, this month's rent and the year's cash flow.

💻 GOOD TO KNOW

✓ Works with a free Google account. No add-ons, no subscription, no bank connection. Amounts show in dollars.
✓ Type only in the input cells. Formulas are protected, so you can't break them by accident.
✓ Your state's rules go in Settings once: grace days, the late fee cap, the days to return a deposit.
✓ Payments go to rent first, then to late fees and charges.
✓ A bill logged to All properties is split evenly.
✓ Made for US landlords. Schedule E shows how the file lays out your numbers. Depreciation is an estimate. Check it with your tax preparer.
✓ Room for 30 units, 40 lease rows, 1,500 lines on Log and 10 properties in the reports.
✓ Best on a computer. The Google Sheets app works for quick entries on your phone.
✓ The Excel version may look slightly different from the photos (fonts, colors, charts). The photos show Google Sheets.
✓ English only. Not made for Apple Numbers.
✓ Free updates for life.
