Order Tracker Spreadsheet, Custom Order Status Tracker for Small Business, Bakery Orders, Deposits and Pickup Schedule, Google Sheets Excel
ORDER TRACKER FOR GOOGLE SHEETS AND EXCEL
An order tracker for small businesses that make to order: cakes, cookies, custom gifts and commissions. Every order is one line, and the file tells you what to start, who picks up, who owes you and who to message.
For home bakers and makers who take orders by message, phone or at a market.
📊 WHAT IT DOES
✓ Orders: one line per order with customer, product, due date, deposit and status. Next step says what it needs.
✓ Make Next: your production queue, sorted by the day you have to start each order, not its due day.
✓ Schedule: open orders by due day: pickup, delivery or shipping, and what to collect at the door.
✓ Capacity: hours booked against your weekly limit, twelve weeks ahead, and a check if a new order fits.
✓ Payments: deposits to ask for, balances to collect after hand-off, and the money that came in.
✓ Messages: who to message today, with the text ready to copy: deposit, balance, pickup, thank-you or book again.
✓ Customers: made from Orders by itself, with how often each person orders and the yearly date that brings them back.
✓ Order Slip: one order on one page, to print for the kitchen.
✓ Month and Year: sales, orders, money in, sales per hour of work, your busiest weeks and the season ahead.
📂 WHAT'S INSIDE: 14 TABS AND 37 CHARTS
✓ Start with these three: Start here, Orders, Home
✓ Set up once: Products, Settings
✓ Every day: Make Next, Schedule, Messages, Order Slip
✓ Money and planning: Payments, Capacity, Customers, Month, Year
📝 HOW IT WORKS
- Open the PDF and click the link to make your own copy in Google Sheets. Or open the Excel file.
- On Start here, type your business name. On Products, add what you sell and its price. Hours and prep days are optional.
- From then on, type only on Orders: customer, product and due date. Add the deposit when it comes in, the day the rest is paid, and move Status along.
- Everything else fills in by itself. Home shows what is due this week, what you are owed, sales this month and who to message today.

💻 GOOD TO KNOW
✓ Works with a free Google account. No add-ons, no subscription.
✓ Type only in the input cells. Formulas are protected, so you can't break them by accident.
✓ It does not connect to your online store or send texts. You type each order and copy the ready message.
✓ Set your deposit rule once. A channel marked prepaid never asks for a deposit.
✓ Capacity counts hours, not orders. Time off shortens those weeks.
✓ Several items in one order? One line each, same customer and due date.
✓ Type each new order in the first empty line. The row number is the order number.
✓ Room for 1,000 lines on Orders, 40 products and 250 customers.
✓ Best on a computer. The Google Sheets app works for quick entries on your phone.
✓ Amounts show in dollars, in the cells and in the ready messages.
✓ The Excel version may look slightly different from the photos (fonts, colors, charts). The photos show Google Sheets.
✓ English only. Not made for Apple Numbers.
✓ Free updates for life.
